Cloud Services Privacy Policy

Scope

This policy covers the privacy practices that Data Systems International, Inc. dba Cloud Inventory and its subsidiaries and affiliates (collectively “Cloud Inventory” or “we”) employ when providing support, consulting, Cloud or other services (the "services") to our customers ("you" or "your"). Cloud Inventory established this privacy policy in order to clarify that the use of information to which it may be provided access in order to provide services is more limited than the use of information covered by DSI's general privacy policy.

Data Definitions

Anonymized Data is any Customer Data from which identifying information has been removed so that the individual data or other identifying information is obfuscated.

Customer Data is any business data, information or content provided, made available, or submitted by you to Cloud Inventory through interactions with your Cloud Inventory environment.

Cloud Inventory has access to your environments (including test, development, and production environments) to perform services defined in your order form. Cloud Inventory treats Customer Data according to the terms of this policy and treats Customer Data as confidential in accordance with the terms of your order for services.

Usage Data is any and all data collected or generated by services or Cloud Inventory related to or in connection with your use of the service.

Collection and Use of Customer Data

Customer Data may be accessed and used to perform services under your order for support, consulting, Cloud, or other services and to confirm your compliance with the terms of your order. This may include testing and applying new product or system versions, patches, updates, and upgrades; monitoring and testing system use and performance; and resolving bugs and other issues you have reported to Cloud Inventory. Any copies of Customer Data created for these purposes are only maintained for time periods relevant to those purposes.

Cloud Inventory may be required to retain or provide access to Customer Data to comply with legally mandated reporting, disclosure, or other legal process requirements.

Cloud Inventory may transfer and access Customer Data globally as required for the purposes specified above. If Cloud Inventory hires subcontractors to assist in providing services, their access to Customer Data will be consistent with the terms of your order for services and this services privacy policy. Cloud Inventory is responsible for its subcontractors’ compliance with the terms of this policy and your order.

You are solely responsible and liable for the content of Customer Data including without limitation the accuracy, quality, integrity, legality, reliability, appropriateness of the foregoing, and obtaining any Intellectual Property Rights ownership or right to use the foregoing. You will not provide, upload, post or transmit any Customer Data that: (a) infringes or violates any Intellectual Property Rights, publicity/privacy rights, law or regulation; or (b) contain Malicious Code. Cloud Inventory may take remedial action, including immediate suspension of Your access to the Service if Your Customer Data violates this paragraph.

Cloud Inventory does not use Customer Data except as stated above or in your order. Cloud Inventory may process Customer Data but does not control your collection or use practices for Customer Data. If you provide any Customer Data to Cloud Inventory, you are responsible for providing any notices and/or obtaining any consents necessary for Cloud Inventory to access, use, retain and transfer Customer Data as specified in this policy and your order.

Collection and Use of Anonymized and Usage Data

Cloud Inventory may create Anonymized Data. Cloud Inventory owns Anonymized Data and may use it to for all lawful business purposes, including, but not limited to, training AI models, product testing, and to otherwise promote its business.

Without limitation, Cloud Inventory may: (i) internally use and modify any Usage Data for the purposes of providing services to Customer, (ii) use and leverage learnings derived from Usage Data to enhance the Service for Customer and other customers, and (iii) publish Usage Data in a de-identified form including aggregated data for our business purposes without restriction. For the avoidance of doubt, such permitted uses of Usage Data shall include, but are not limited to, measurement of the number of transactions executed against tables in Cloud Inventory’s or solution developer tables and collection of technical logs, data, and learnings about Customer’s use of the services (e.g., frequency of logins, volume of data collected or sent).

Usage Data is distinct from Customer Data and Cloud Inventory may not use Customer Data for any reason without express written permission from You.

Mobile Applications

Cloud Inventory develops and deploys mobile applications that can be used in conjunction with the Cloud Inventory Cloud services. These mobile applications are Cloud Inventory’s Mobile Client, Mobile Client (Zebra), and Mobile Client (Honeywell). In addition to the CustomerData you enter into the system using these applications, Cloud Inventory collects location data from your devices to facilitate the functionality provided by Cloud Inventory Cloud Services. The privacy terms located in this policy apply to the data collected by the mobile applications also.

Security and Breach Notification

Cloud Inventory is committed to the security of your Customer Data, and has in place physical, administrative, and technical measures designed to prevent unauthorized access to that information. Cloud Inventory employees are required to maintain the confidentiality of Customer Data. Employees' obligations include written confidentiality agreements, and compliance with company policies concerning protection of confidential information.

Cloud Inventory promptly evaluates and responds to incidents that create suspicions of unauthorized handling of Services Data. Cloud Inventory’s Executive team and Compliance & Security Officer are informed of such incidents and, depending on the nature of the activity, define escalation paths and response teams to address the incidents. If Cloud Inventory determines that your Customer Data has been misappropriated (including by an employee of Cloud Inventory) or otherwise wrongly acquired by a third party, Cloud Inventory will promptly report such misappropriation or acquisition to you.

Cloud Inventory may change this Policy by posting an updated version of the Policy to this web address. The updates will be effective upon posting.
